AI access guide

Manage AI access for your team and track upload credits for document extraction.

Available AI features

  1. Document extraction — extract data from invoices, receipts, and bank statements. Supports single-file and bulk upload (up to 20 files at once).
  2. AI categorization — automatically categorize expenses into accounts with balanced journal entries, including mixed GST rate handling and multi-TDS support.
  3. Compliance assistant — get answers to questions about GST, TDS, payroll, and export regulations.

Who has AI access

Company owners have automatic access to all AI features — no additional setup required.

Team members (Admins, Accountants, Viewers) need to be granted access by the company owner.

Granting AI access to team members

As a company owner:

  1. Go to Settings → Team
  2. Find the team member you want to grant access to
  3. Click Grant AI Access
  4. The member receives an email notification with their access details

Access duration

AI access for team members is granted for 30 days by default. When access expires:

  • The team member loses access to AI features
  • A notification is sent 7 days before expiry
  • The owner can grant access again at any time

Upload credits

Each AI extraction uses one upload credit. Your remaining credits are shown on the upload page.

Subscription quota — your plan includes a monthly allocation of upload credits that resets each billing cycle.

Purchase credits from the Pricing page for your own account, or from Settings → Team for a team member. Credits stack on top of your subscription quota.

Checking your AI access status

Look for the AI access indicator in the header:

  • Green indicator — AI access is active
  • Shows expiry date — when your access expires (for team members)
  • No indicator — AI features are not available

What happens without AI access

If you don't have AI access:

  • Document extraction buttons are disabled
  • AI categorization is unavailable
  • AI Assistant chat is not available
  • You can still upload documents for manual entry and use all other features normally

Tips

  • Grant AI access to team members who frequently process documents
  • Access can be revoked anytime if a team member no longer needs it
  • Owners don't need to worry about expiry — access is always active
  • Monitor credit usage if your team processes large volumes of bills
