Bill detail

Use the bill detail page to review a bill's full information, track payment progress, manage credit and debit notes, handle TDS allocations, and attach supporting documents.

Bill header

The header at the top of the page shows the bill number, vendor name, and current status.

Bill numberThe vendor's invoice identifier, displayed as the page heading
Status badgeCurrent status of the bill — Draft, Unpaid, Partially Paid, Paid, or Cancelled
Overdue badgeA red badge appears if the bill is past its due date and not yet fully paid or cancelled
Vendor nameShown below the bill number for quick reference

Bill details card

This card shows the core information about the bill.

Bill NumberThe vendor's invoice reference
Bill DateThe date the bill was issued
Due DateThe payment due date, if one was set
Place of SupplyThe location used for GST determination, if applicable
Expense AccountThe account code and name where the expense is categorized
NotesAny notes recorded when the bill was saved

Vendor details card

This card displays the vendor's information as recorded on the bill.

FieldDescription
Vendor NameThe name of the vendor or supplier
GSTINThe vendor's GST Identification Number, if provided
AddressThe vendor's address, if recorded

Amount summary

The amount summary card shows the full financial breakdown of the bill in two columns.

Left column — bill amounts

SubtotalThe pre-tax amount in the bill's currency
CGSTCentral GST amount, shown when applicable
SGSTState GST amount, shown when applicable
IGSTIntegrated GST amount, shown when applicable
Total GSTSum of all GST components
Total AmountThe full bill amount in the bill's currency
Total (INR)The equivalent amount in Indian Rupees
Credit NotesTotal credit notes issued, shown in red when present
Debit NotesTotal debit notes issued, shown in green when present
Adjusted Total (INR)The net bill amount after credit and debit note adjustments

Right column — payment status

LineDescription
Amount PaidTotal payments recorded in the bill's currency
Amount Paid (INR)Total payments in Indian Rupees
Balance DueRemaining amount to pay in the bill's currency, shown in red if outstanding or green if fully paid
Balance Due (INR)Remaining amount in Indian Rupees

Foreign currency and exchange rate

When the bill is in a non-INR currency (USD, EUR, GBP, etc.), the amount summary includes additional information:

Exchange RateThe conversion rate used when the bill was created, displayed as "1 [currency] = INR [rate]"
Total (INR)The bill amount converted to INR at the recorded exchange rate

All INR equivalents throughout the page use the exchange rate that was set when the bill was saved.


Line items

If the bill includes itemized entries, a table displays each line item.

HSN/SACThe HSN or SAC code for the item, used for GST classification
QtyQuantity of the item
Unit PricePrice per unit in the bill's currency
AmountTotal amount for the line item

This section only appears when the bill has line items.


Payment history

When payments have been recorded against the bill, a table shows each payment.

DateThe date the payment was made
AmountPayment amount in the bill's currency
INR AmountPayment amount in Indian Rupees
TDSTDS deducted on the payment, if any
Forex Gain/LossForeign exchange gain (green) or loss (red) compared to the original booked rate
Bank AccountThe account code and name of the payment account
ReferencePayment reference number (NEFT, RTGS, cheque number)
ReceiptView or link a receipt document to the payment

You can link a receipt to any payment by clicking the document icon in the Receipt column and selecting a document from your library.

Users with the bills.delete permission can delete a payment using the trash icon. Deleting a payment also removes the associated journal entry.


TDS information

This section appears when TDS applies to the bill (either a TDS amount or TDS section is set). The BillTDSSection component shows:

  • TDS allocations linked to this bill
  • The Form 26Q filing status for the quarter in which the bill falls
  • Links to the relevant Form 26Q filing, if one exists

The quarter and assessment year are determined automatically from the bill date.


Credit and debit notes

This section lets you manage credit and debit notes issued against the bill. It does not appear for cancelled bills.

You can:

  • Issue a draft debit note to finalize it
  • Cancel an issued debit note
  • Delete a draft debit note

Credit notes increase the amount you owe, while debit notes reduce it. The adjusted totals in the amount summary update automatically when notes are issued or cancelled.

Linked journal entry

When a bill has an associated journal entry, this card shows a link to view the related transactions. Click View Journal Entries to navigate to the transactions page filtered by this bill.


Attached document

You can attach a supporting document (invoice PDF, scanned image, etc.) to the bill.

  • If a document is linked: The card shows the file name, type, and buttons to view or download the document.
  • If no document is linked: The card shows a Link Existing Document button that opens a document picker. Select a file from your document library to attach it.

Activity timeline

The activity timeline at the bottom of the page shows a chronological log of all events related to the bill, including creation, status changes, payments, and document linking.


Actions

The available actions depend on the bill's current status.

Cancel BillUnpaid or DraftCancels the bill and voids the associated transaction. You are prompted to confirm before cancellation.
